How to enter a Sales Order Transaction

From the SAP Business One Main menu Choose Sales A / R - Sales Order

  • Customer Code, Name, and other information inputs
  • The Content Tab consists of 2 types namely Item and Service Transactions
  • After selecting the type to be used, fill in the other information needed
  • Logistic Tab, Fill in the information needed
  • Accounting Tab, Fill in the information needed

After all information is filled click Add button. And the System will display a Successful message on the system message below the left

Explanation of this Sales Order Document is as follows:

  1. General Tab
    • Contact Person, Name of Contact Person Default is based on Business Data Master Data. If You Need You Can Change the Contact Person
    • Customer Ref No, Can be filled with Reference no. From customer, If Needed
    • No. Will be filled automatically if you use Series Numbering. If you fill in the manual you must fill it. (This number must be unique)
    • Status. Display the status of a Sales Order document
      • Open. Documents have not yet been sent or invoice. This document can still be edited
      • Open-printed, the status of this document is still open, but it has already been printed
      • Canceled, Document Status was canceled manually. Right-click - canceled
      • Closed, the status of the document has been sent / Invoice. You can do closed documents manually if this document has no connection with other documents.
    • Posting Date. The default is based on the system date. You can change the date of posting.
    • Delivery Date. Date of shipment of goods.
    • Document Date. Date This document was made
    • Currency. The currency that will be used to make sales transactions.
    • Sales Employee. Employee Name that makes Sales Documents.
    • Owner. Can be filled with the name Supervisor or your boss.
    • Remarks. As additional information if needed
    • Total Before Discount. The total number of sales orders before the discount is calculated. If Discount has been defined on the row item. the amount displayed in this field takes calculated discounts.
    • Discount%. The total discount that will be given for one sales document.
    • Freight. Transport costs that will be added to the total payment. You must first set the module administration - Setup - General - Freight
    • Rounding. Rounding
    • Tax. Tax for the sales document. If there is
    • Total. The total for one document after being added to the Tax, Freight and reduced discounts
  2. Content Tab. This tab explains the specific items or services to be sold
    • For additional information you can open the form settings
    • Item / Service Type.
      • Item. To make sales transactions with item types.
      • Service. To make a sales transaction with a type of service. For example consultant services.
    • Quantity. The number of items you will sell is based on the size of the sales unit. As explained in the master data item. the default for each item is 1.
      • Example. Quantity * Items Per Unit = Qty (Inventory UoM)
    • Delivered. Quantity Amount that has been sent to the customer
    • Open Qty / Qty To Ship. Amount of Quantity that still has to be sent
    • Ordered. Showing the Quantity that is being ordered
    • Unit Price .
      • If Inventory UoM is default YES. Then the price is the unit price
      • If No. Didefault UoM Inventory Then the price is the unit of goods * price per unit
      • Example: if the Unit Price on the Master Data Item is $ 10, and the Item Per unit value is 5 then the price displayed on the document is $ 50
      • To View Last Price Place the position of the field on the price unit then click CTRL + Tab
    • Inventory UoM.
      • Unit used in the Warehouse (See Master Data Items - Inventory Tab)
      • The System Will Mendefault No.
      • If you have defined Sales Unit Of Measure that is in the Master Data Item - the Sales Tab is not the same as 1. Quantity of unit items that will be issued from the warehouse are the same as the Quantity that you input in the Sales document.
        • Example Quantity * Item Per Unit = Qty (Inventory UoM)
    • Unit of Measure
      • The unit used in the sales transaction (See Master Data Item - Sales Tab)
    • Discount%. Displays the percentage of discounts for each item
    • Price After Discount. Price after discount
    • Item Cost. Current Stock Prices.
    • Wtax Liable. identify income tax in the document
    • TaxCode. identify taxes for each item
    • Total LC = (Unit Price * Quantity) - (Unit Price * Quantity * Discount)
  3. Logistic Tab
    • Ship To. The default shipping address is based on the Business partner master data. You can change the shipping address if needed
    • Bill To. Billing Address for the item. Defaults are based on Business partner master data. You can change the shipping address if needed
